What is a health and safety audit and how should it be carried out?
The purpose of the service is for companies to monitor their labor safety service, the quality of their performance and compliance with the law, in order to avoid financial fines and suspension of the production process from the labor inspectorate.

Like financial audits, health and safety audits determine whether the systems you have implemented are working in accordance with legal requirements. Also identifies areas for improvement.

It is better to conduct the audit by invited external specialists in order to exclude subjectivity and objectively assess the company's compliance with legal requirements.

A system audit includes checking the complete labor safety documentation using specially designed checklists to identify the extent to which documentation, instructions, work environment arrangements and other aspects of labor safety comply with legal regulations.

Let's consider the steps of implementation of audit:

Step 1 - collection of documentation

At the initial stage, the company's managers and supervisors must provide all relevant documentation and records to the persons conducting the labor safety audit, so that the audit process of these records can proceed smoothly.

Documents to be submitted:

policy documents;
risk assessment records;
records of safe work procedures;
safety training documents;
health and safety roles and responsibilities;
work permit systems;
accident registration documents and reports;
emergency action plans;
Documents for safe operation of machines and equipment;
Technical records, etc.

Step 2 - Find the facts

Staff Interviews – All levels of staff must be interviewed. The employee's awareness level will be determined on issues of safe work.

Review of the safety policy - this refers to the determination of compliance of the company's occupational safety policy with legal regulations. In particular, the current situation of threat identification and control.

Policy administration - includes managing company policies. How is your staff keeping up with the changing regulations in your industry and how is it compliant with existing legal requirements?

Documents - Company documents should be up-to-date and accessible.

Equipment - In all production processes, companies use equipment, machinery and machines that have their own safety protocols. They should be included in the company's security policy and documented in accordance with legal requirements.

Step 3 - Review/report audit results

After the audit is completed, a report is prepared, which focuses on the following:

Compliance with industry best practices
Policy requirements
compliance documentation
Preparation of personnel
Each of these areas should be addressed and corrected if necessary. Your health and safety policy document should be updated to reflect the latest findings and recommendations.

Step 4 - Recommendations

Once existing inconsistencies and gaps are identified, specific recommendations will be made to address each gap. These corrective actions will be prioritized according to the level of risk and likelihood of accidents or ill health.
